Branding and landing pages

Every document, user, collection and setting in Docutrain belongs to an owner organization — an owner group, in the product's own vocabulary. It carries a name and a URL-friendly identifier, your documents and collections, your members and their roles, a plan tier, your branding and landing page, and the defaults your documents inherit. One installation hosts many organizations, and readers of one never see another's documents.

Knowing which organization you are in

The dashboard works on one organization at a time. A sticky Workspace strip sits beneath the top bar and names the one everything below belongs to — Home, Documents, Collections, Forms, Intelligence and Owner Settings all follow it.

Belong to one organization and the strip is a chip with your logo. Belong to several and it becomes a picker: open it, type in Search owners..., choose. The choice is remembered. Super admins always see the picker, and they alone get an All workspaces option reporting across every organization at once. Owner Settings and Intelligence carry no pickers of their own; with nothing selected they ask you to "Select an owner in the workspace strip above".

Owner Settings and branding

In the sidebar under Administration, select Owner Settings. It is split into tabs, but one Apply button at the bottom saves all of them at once; switch tabs before applying and your edits are kept.

Basic Info and Categories are super-admin territory, not customer settings: Basic Info holds the Owner Name, Slug, Description, Plan Tier badge and Default Chunk Limit; Categories defines custom category options, nested two levels deep.

The Branding tab requires a plan with branding features; on lower plans its fields are disabled.

One button deserves a warning. Once a default cover is saved, Apply to all documents appears beside it, and it overwrites every cover — including documents that already have their own.

The landing page

Your organization has a public homepage — the page readers reach at the address ending in ?owner= followed by your identifier, or at your own domain when one is active. The dashboard home carries a Public landing page card with the live address, copy and open buttons, and a line naming the domain in use.

Layout offers two choices. Standard is a branded two-column page: your logo, the assistant character card, your introduction, a "How to Use" panel and featured collections on the left, a "Select a Document" list on the right. Gallery, the default, is a full-width knowledge centre — a sticky header with live document and collection counts, an "About" section behind Read more, search on Ctrl+K, a Sort menu and category tabs, plus a Collections tab when you have shared collections. Either layout can be forced for one share link with the ?owner-standard= or ?owner-gallery= parameters. In both, visitors only see documents their access level allows; passcode and token documents appear as locked cards.

Visibility controls who can view the homepage itself and nothing else; documents keep their own access levels. Public is anyone with the link, Docutrain users any signed-in user, Owner team only super admins and your team — everyone else sees "This homepage is private".

Three content sections feed the page: Company introduction, How to use, and Contact information for the footer, where rich HTML content appears first and the structured Email, Phone and Address fields after it. Section-visibility checkboxes hide sections in both layouts even when content exists — Show logo (unchecked, your name appears as text), Show company introduction, Show how to use section, Show contact information and Show chat assistant character.

Content, plan and the chat assistant

The Content tab holds two organization-wide defaults. Show medication warning in chat responses, on by default and intended for medical organizations, adds a caution to responses with medication recommendations. Default intro message is a rich-text introduction shown on every document that lacks its own.

Plan & Usage is your plan dashboard: tier and limits, subscription status, a documents-used indicator, a comparison table across all four tiers, and a dated Plan history. Super admins also get a control to step an organization down one tier. Details in plans and limits.

Chat Assistant gives your AI a name and a face, so responses are attributed to your character. Enable custom chat assistant is the master toggle, Assistant name is required whenever it is on, and the Assistant avatar is uploaded or generated from a short description. Embed widget is the rich-text introduction shown in embedded galleries.

The embed builder that used to live here has been retired: galleries fronted by your character, and floating chat bubbles, are now saved embeds in the dashboard's Embeds tab. The name, avatar and intro still feed every published gallery embed. See embedding on your website.

Configuration

Discoverable is one switch covering all three places your group can be found by name: the company search on the signup form, the Request access search in a user's profile, and the organization directory on Docutrain's start page. There is no appearing in one but not the others. Turning it on requires Business or higher; turning it off is always allowed. It does not govern whether your documents appear in search.

People who already have an account can request to join from My Profile → Owner groups → Request access, by search if you are discoverable or by exact identifier if you are not. Nobody gains access until an admin approves — see users, roles and invitations.

Chat attachments lets readers attach a PDF, Word or image file as temporary context for a conversation. Attached files are never stored.

Custom domain serves your documents and landing page from your own address. Enter the subdomain in Domain, select Set up custom domain, and add the two DNS records Docutrain shows you: a TXT record for verification and a CNAME for routing. Copy instructions packages them for whoever runs your DNS. Once they are live — propagation can take up to 30 minutes — select Verify domain. The card shows the current state throughout, and a Custom favicon control appears once the domain is active.

Super admins see two cards owner admins do not: Admin settings, with a domain routing field and a forced model selector, and Fun facts, which generates the facts readers see while an answer composes.

Setting up a new organization, the logo and default cover change the most screens at once. The rest can wait until you have documents to put on the page.
